Privacy Policy

This policy explains what personal information BldgHelm collects, why, and what you can do about it.

What we collect

• Account details: name, email address and, if you add it, phone number, for staff and contractor logins.
• Work records: what your organization enters: buildings, equipment, maintenance, work orders, photos, documents and notes, and who created or changed them (the audit log).
• Repair requests from the public: the description, location, optional photos and the contact details the person chooses to give, so the facilities team can reply.
• Technical data: the IP address of public form submissions, stored only as a scrambled (keyed hash) value for spam limits; error reports with personal details removed.
• Billing: the billing email, invoices and plan. Card and bank details go directly to Stripe; BldgHelm never sees or stores them.

How we use it

Only to run BldgHelm for your organization: showing records to the people allowed to see them, sending the emails you ask for (invitations, reminders, request updates), billing, security and support. We do not sell personal information and do not use it for advertising.

Who we share it with

Service providers that run parts of BldgHelm for us: Supabase (database, file storage, sign-in), Vercel (hosting), Resend (email), Stripe (payments), Sentry (error reports, scrubbed of personal details), Cloudflare Turnstile (spam protection on the public form) and Anthropic (AI replacement estimates; equipment details only, no personal information). Each processes data only on our instructions.

How long we keep it

Records are kept while your organization uses BldgHelm. Deleted records are archived rather than erased so the history stays intact; your organization can ask us to erase its data when it leaves.

Your choices

You can update your name and notification settings at any time. Your organization's Owner Admin can export or correct records. For access, correction or deletion requests, contact your organization or BldgHelm.

Students' records (FERPA)

BldgHelm is not designed to hold education records. Repair requests should not include student academic information.
